How Transworld cut document processing by 30%.

Transworld's Odoo ERP implementation replaced five disconnected tools — fleet, warehouse, orders, documents, and live shipment tracking — with one unified platform. Here's how the rollout ran, what broke, and what changed.

01   Context

Who is Transworld?

Transworld Logistics is a global freight forwarder. It handles 3PL, ecommerce logistics, and air, sea, and land freight across multiple countries. Before the Odoo ERP implementation, each team ran on a different tool. Fleet data lived in one system. Warehouse counts in another. Orders in spreadsheets. Documents in email.

SDLC Corp — an official Odoo partner — ran the full rollout: fleet first, then warehouse, orders, AI document processing, and route planning. Every module replaced a tool Transworld was already paying to maintain.

02   Challenges

Six things had to change.

Transworld ran on five disconnected tools. Each team re-keyed the same data. Reports lagged by days. These are the six pains the Odoo ERP implementation had to fix.

  1. 01

    Fleet data in different shapes

Fleet tools and Odoo stored vehicle data in different formats. Trip status arrived late. Fuel logs lived in one tool, driver records in another. Dispatch could not see a single truck's full day in one place.

  2. 02

Warehouse counts didn't match the books

Stock counts in the warehouse did not match Odoo. Staff used paper picklists. Bin-level tracking did not exist. Returns and audits took days because lot numbers were not logged.

  3. 03

Orders moved by email and spreadsheet

Orders moved by email and spreadsheet between sales, stock, and dispatch. Stock got over-promised. Backorders were missed. Customers called to ask where their shipment was.

  4. 04

Document entry was manual and slow

Invoices, PODs, GRNs, and bills came in from thousands of partners. Each in a different format. Staff typed key fields by hand into Odoo. Errors crept in. Audits took weeks.

  5. 05

    Routes were planned by hand

Dispatch teams planned routes in their heads — traffic, delivery windows, vehicle size, priority orders. Late deliveries stacked up in peak season.

  6. 06

    No live shipment status, anywhere

Customers and internal teams called drivers to ask where shipments were. No live map, no single status page, no alert when a shipment slipped.

03   Approach

How the Odoo ERP implementation ran.

  1. Phase 01

    Discover

Mapped every current Transworld process — fleet, warehouse, orders, documents, tracking. Ranked the biggest gaps and quick wins.

  2. Phase 02

    Pilot

Took fleet live first as a controlled pilot so dispatch could test the new system without risking other teams' work.

  3. Phase 03

    Rollout

Warehouse, order, and CRM modules followed, module by module. Staff went through Odoo training workshops before each cutover.

  4. Phase 04

    Optimize

AI document processing and route planning were added last, once the core Odoo data was clean and every team was comfortable.

04   Solutions

What we built for the Odoo ERP implementation.

Six modules, rolled out in sequence. Each one replaced a tool Transworld was already paying to maintain.

S.01

Fleet integration, done right

A live link between Transworld's fleet telematics and Odoo using middleware. Vehicle ID, trip status, fuel logs, and driver details sync in real time. Dispatch and finance pull from the same data. Built as a custom Odoo integration layer so the existing fleet tool keeps running in parallel.

S.02

Scanner-driven warehouse

Warehouse staff moved to barcode and RFID scanning. Every move is logged at the bin level. Receiving, picking, packing, and shipping match the system in real time. Lot and serial tracking is live for audits, returns, and quality checks.

S.03

One path from quote to dispatch

Orders now move in one path: quote, confirm, reserve stock, pick, pack, ship. Stock gets booked at the right time, so no team over-promises. Rules cover approvals, split shipments, and backorders — with room for Transworld's client-specific exceptions.

S.04

AI reads the paperwork

AI pulls key details from invoices, PODs, GRNs, and bills. Odoo captures vendor name, dates, line items, amounts, and tax fields. OCR reads scans. NLP handles messy layouts. Staff only review flagged items. Full technical detail in the AI document processing write-up.

S.05

Smarter routes, every morning

Routes are planned on live traffic and past delivery data. Dispatch opens the day with a ready plan, not a guess. The system factors in stops, vehicle size, delivery windows, and priority orders. Heavy routing runs on cloud so peak days stay fast.

S.06

Shipment status, always on

GPS and IoT feeds stream into Odoo. Dispatch, sales, and support all see the same live location and delivery status. Drivers stop getting status calls. The platform is covered by ongoing Odoo support with encryption and role-based access.

05   Results

30%

faster document processing after the Odoo ERP implementation. AI now handles what staff used to type by hand.

  • Live view of fleet, warehouse & orders — all on one screen for dispatch, sales, and finance.
  • Fewer missed shipments and backorders — stock gets booked at the right moment, not overpromised.
  • New countries added without re-work — the platform scales with the business.
  • Lower IT overhead — five legacy tools retired, one Odoo platform in their place.
